Creating our Survey Instance

Picking up from where we last left of, we have finalized the questions we want to ask and we are happy with your choices and ordering. From survey details page click Survey Instances from the top level navigation. EDITOR NOTE- we should add a button from this page directing the user to survey instances.

 

On our Survey Instances page we can see that we have not yet set up any survey instances for 2023. Additionally, please note that this page shows instances for a specific survey. So if you create multiple surveys you’ll need to use the drop down button for Survey to switch between the surveys you have created.

Let’s go ahead and create a survey instance.

Start by clicking Create Survey Instance.

There are two types of survey instances that you can create, Individual and Peer Group. Let’s talk about each of these and why you would choose each one.

Individual → An individual survey instance is a survey that will have a single subject (person who is the subject of the survey) and a list of respondents that will be answering the survey. You’ll want to use this type of survey if you want to ask many people about one person.

Peer Group → A peer group survey is intended to model 360 feedback where you have a group of people and you want them each to answer surveys about everyone in the group. This is helpful if you are supervisor and you want to collect peer feedback from each of the employees that you supervise.

We’ll walk through the process for each, but we will ultimately create a peer group survey.

For the individual survey you’ll need to select a subject, and then respondents. You can search for and select individual respondents, or, you can pre-select a series of respondents based upon department groups.

Make sure you also select the survey you created earlier as your Survey.

Note, once you select a subject, that person will disappear from the potential respondents list. Subjects cannot be a respondent of their own survey.

Additionally, if you cannot find the user you would like to add as a respondent you can add them by clicking Add a new user. Keep in mind this user must be a CSU affiliated person.

Since I am going to create a peer group survey, I’ll back out of this and click Create Survey Instance again.

For my peer survey I am going to select my previously created survey, and then select all of my respondents. Remember that these respondents will also become a subject of their own survey instance.

You should now see all of your survey instances, along with information on their responses.

 

We’ll stop here for a bit and wait until tomorrow when our surveys go out, then we’ll check out what it looks like from the respondent point of view.
